If you’re wondering how to organize eBay inventory efficiently, a simple system like this goes a long way.
Because my space is limited, I don’t keep everything in one place — and that’s intentional.
When items come in (garage sales, online, thrift stores, etc.), they go into a general “unsorted” box. These are items I haven’t listed yet.
Each day, I grab however many items I am listing from that box and bring them into my workspace.
From there:
- Quick visual check
- Basic testing (power, buttons, etc.)
If something is not fully working, I list it as for parts / not working.
Sometimes I:
- Lot those items together in a separate box
- Or sell them individually if they have enough value
If something is working, I list it right away.
Once it’s listed, it goes into inventory
This is where the system matters.
I use clear plastic storage totes placed in different parts of my space.
Each tote:
- Is stacked vertically to save space
- Has a letter label (A, B, C, etc.)
- Holds items either in plastic baggies or loose if they’re larger
How I find items quickly
When I create a listing, I put the tote letter into the SKU field.
For example:
- Item stored in tote A → SKU says “A”
So when something sells:
– I check the SKU
– Go to that tote
– Grab the item in seconds
I’ve never not been able to find something I’ve sold using this system.
If you have more space, you can:
- Keep all totes in one area
- Use shelves instead of stacking
But for a small space, this works perfectly.
Why I like this system
- Keeps everything protected (totes with lids)
- Prevents damage over time
- Takes up very little space
- Simple and repeatable
You can use a spreadsheet if you prefer, but for me:
– The SKU + tote system is enough
